I want to replace our colour-coded spreadsheets with a browser-based scheduling tool that keeps the two-building rotation for Cubs/Tots and Tigers exactly as it is today while removing all of the manual fixes I have to make each week.
How it should work
• I choose last week’s rota and the system automatically imports the staff assignments and event schedules already in place, giving me a working draft instead of a blank page.
• The draft instantly fills in every predictable item—fixed openers, anyone permanently tied to a single building, plus the bike-hike, library, pool and field-trip slots.
• Approved time-off dates become hard blocks, and the app refuses to double-book a person in both buildings.
• As I edit, colour-coded warnings appear for ratio gaps, a missing closer, or anyone who would go over their weekly-hour cap.
Staff self-service
Each employee has their own login to submit new time-off requests; I (or another leader) can approve or deny with one click and the schedule updates itself.
Final output
With one press I need a clean, printable timetable identical to the grid we already tape to the wall and email to parents.
