Seeking a contractor who will maintain and improve three core systems: an online Judging Application, a conference website, and an Abstract Submission Portal, and will provide hands-on technical support during an annual 2.5 day conference and the abstract submission/review cycle.
Key Responsibility:
Judging Application
• Update and improve the Judging App ahead of the annual conference, including workflow improvements and bug fixes
• Import abstracts and judge assignments into the app
• Generate new certificates within the app and update the app theme to reflect the latest plugin build
• Set up and import abstracts, generate test builds, and test the app prior to launch
Conference Support
• Provide on-site technical support at the annual Conference (2 staff on-site)
• Be available as an off-site technical resource during the conference on an as-needed basis
Website
• Add new content and functionality to the website outside the scope of the judging app
• Provide ongoing maintenance, software updates, and technical support (avg. ~6 hrs/month)
Abstract Submission Portal
• Update and improve the abstract portal prior to opening submissions, including workflow improvements, bug fixes, and form changes
• Support students and reviewers with portal issues during the submission and review process
• Provide ongoing maintenance, software updates, and technical support (avg. ~6 hrs/month)
General Site Maintenance & Security
• Assist with general site maintenance, including access management
• Keep tools and platforms updated to current versions and free of known security vulnerabilities
• Apply patches for zero-day vulnerabilities within 24–72 hours of identification
• Take on additional support tasks as needed
Qualifications
• Demonstrated experience building and maintaining web applications and content-managed websites
• Comfort working within an existing codebase and plugin/theme ecosystem rather than building greenfield
• Experience with data import/migration workflows (e.g., importing abstracts, user/judge records)
• Working knowledge of web application security practices and patch management
• Strong client-facing communication skills; able to support non-technical end users (students, reviewers, judges) under time pressure
• Ability to travel to the annual Conference for on-site technical support
• Responsive and available during peak periods: pre-conference launch, the conference itself, and the abstract submission/review window
